Why extension becomes a daily job
Long routes, unloading delays, customer not available for delivery, RTO pending — there are many reasons an LR stays open for days or weeks. Each e-way bill on that LR may need extension before midnight. On the portal you search bill number, enter reason, submit — then repeat for the next LR. Multiply by 50 open consignments across three branches and one person is doing nothing else.
What good e-way bill software should do
- Know which LRs are still undelivered — extension only where needed
- Extend in batch through GSP, not one login per bill
- Email branch and accounts a report: extended, skipped, failed
- Show expiry on the same screen as LR status and OFD
- Support consolidated e-way bill when vehicle leaves godown
- Support transfer when another transporter takes over mid-route
Multi-leg routes: extension is not enough
On Ahmedabad → Mumbai → Bangalore type routes, stock may sit with an agent in between. You extend while it is with you; when you hand over, you must transfer e-way bills to the next transporter's GSTIN. Doing transfer and extension in separate tools doubles the work. Keep both next to the LR in your e-way bill software.
How iLogitix handles it
iLogitix links e-way bills to bookings. A scheduled job extends bills for open LRs. From outward or OFD, staff generate consolidated e-way bill with vehicle details. Transfer screen moves bills to partner transporter GSTIN. All of this sits inside TMS + e-way bill + HRMS — not a standalone compliance tool disconnected from ops.
FAQ
How long is an e-way bill valid?
Validity depends on distance and rules on the GST portal. Roughly, shorter distances get fewer days; long haul gets more — but the exact calculation is on the portal. What matters for transporters: if goods aren't delivered before expiry, you must extend or face problems during movement.
Can software extend e-way bills automatically?
Yes, if it connects to a GSP and knows which LRs are still open. iLogitix runs scheduled extension for undelivered bookings — extending eligible e-way bills until delivery, cancellation or RTO — and emails a summary to branch and accounts.
What is consolidated e-way bill vs normal extension?
Extension adds more validity time to an existing e-way bill. Consolidated e-way bill is different — it groups many e-way bills on one vehicle under one consolidated number when updating Part B / movement details. Both are needed in a busy transport office.
